Comunicación en papel

This post is the second in our monograph entitled “Digital and paper communications. Everything you need to know to compare and combine them” in which we analyze and compare both types of communications, with special emphasis on maximizing the advantages of each medium in a responsible way with people and the environment.

You can read the first entry on digital communications here.

Despite the digital boom, paper-based communication maintains its relevance and offers distinct advantages, especially in contexts such as banking and insurance:

Universal accessibility and bridging the digital divide

Paper-based communication is universally accessible, making it an indispensable channel for bridging the digital divide. Older clients, those less familiar with new technologies or with limited access to devices and internet connectivity, can access information easily and without barriers. In the banking and insurance sector, where the inclusion of all segments of the population is a social responsibility and a business imperative, paper ensures that no customer is excluded from receiving vital information, maintaining equity in access to services.

Advantage of the physical channel Relevance in Regulated Sectors Profile of the Preferred Recipient
Universal Accessibility Legal obligation under the EAA / Law 11/2023 to ensure access for all customers Seniors, people with disabilities, users without digital access
Responsible Sustainability FSC/PEFC-certified paper has a carbon footprint comparable to or lower than that of digital printing over long runs All segments — sustainable brand positioning
Reading Ergonomics Complex documents (contracts, terms and conditions) are easier to understand on paper Clients with lengthy or highly complex documents
Durability and Physical Storage Mortgage contracts, insurance policies, and wills require long-term, tamper-proof storage Banking, insurance, legal
Perception of Official Status and Trust Legal communications, contract amendments, and notarized documents generate greater credibility on paper All segments, especially large-scale B2C
Emotional Impact and Differentiation Premium direct marketing, welcome messages, and high-value loyalty programs generate a better response on paper Premium segments, high-value customers
Less distraction and greater concentration Documents that require in-depth reading (general terms and conditions, investment terms) Clients dealing with a high volume of information or older clients

Set your company apart in the market through a barrier-free digital ecosystem that not only complies with regulations but also positions your brand at the forefront of social innovation and usability, in accordance with the guidelines of the new European Accessibility Act.

Paper sustainability: A responsible approach

Contrary to popular belief, paper use, when managed responsibly, is not a threat to future generations. If paper pulp is sourced from legal, certified and sustainable sources (such as responsibly managed forests with controlled planting and harvesting cycles), papermaking can be a circular process. In fact, the paper industry is the first stakeholder to ensure that deforestation does not exist and is not attributed to the manufacture of paper pulp. The main causes of deforestation globally are agricultural and livestock expansion, illegal mining, illegal logging and urbanization, not the production of paper from managed forests. Conscious use and proper recycling of paper further enhance its sustainability.

MailComms Group’s chain of custody is certified under the standards PEFC Certificate No.: AEN-PEFC-COC-0247 and FSC Certificate No.: AEN-COC-00075. This means that all the paper we use in certified projects with chain of custody for customers comes from responsibly managed forests, respecting traditional uses, guaranteeing reforestation and supporting local communities. FSC stands for Forest Stewardship Council and PEFC stands for Programme for the Endorsement of Forest Certification.

Ergonomics of Reading

Ergonomics of reading

For a significant segment of the population, reading on paper is more comfortable and less tiring for the eyes than reading on digital screens. The absence of backlighting contributes to a more relaxed and concentrated reading experience.

Durability of the support and unalterable physical backing

Paper is the only medium that offers a tangible, unalterable, and accessible physical record that does not rely on technology, making it the essential medium for documents that must retain their evidentiary value for decades: mortgage contracts, life insurance policies, deeds, and wills.

Paper offers a durable, tangible medium that can be easily physically archived and consulted at any time, without the need for an electronic device, internet connection or concern for software or hardware failure. This feature provides a sense of security and unwavering backup for documentation such as mortgage contracts, deeds, life insurance policies or wills, where permanence and unalterability are fundamental requirements.

Perception of importance and traditional trust

A physical document, such as an official letter, a detailed bank statement or an insurance policy, is often perceived as more official and this perception of seriousness and formality is crucial for highly relevant legal, contractual or financial communications.

And while postal mail has some risks (loss, physical theft), it is not exposed to the complex cybersecurity threats of digital channels, so for many customers, the physical format engenders greater confidence in the security and confidentiality of information, particularly when dealing with sensitive data.

Advantages of Paper-Based Communication

Emotional impact and differentiation in a saturated environment

In a saturated digital world, a well-designed paper communication can stand out and generate a more significant emotional and cognitive impact. A personalized letter, a high quality brochure or a printed annual report can be perceived as a more thoughtful, exclusive and valuable gesture by the entity, leading to improved brand perception and contributing to brand differentiation.

Less distraction and greater concentration on the message

Paper offers a more focused and interruption-free reading environment. This allows the customer to fully concentrate on the content of the message, which is vital for understanding complex documents such as the terms of a mortgage, the details of an insurance policy or the terms of an investment product.

Although we live in a digital age, print communication continues to prove its value as an effective, inclusive, and responsible channel. Its ability to reach all audiences, its physical presence, the sense of security it conveys, and its potential to create an emotional impact make it an indispensable tool in sectors where trust, clarity, and durability are key.

At MailComms Group, we manage certified physical communications at scale for companies in the banking, insurance, and utilities sectors—from production and personalization to postal delivery with delivery tracking. Our PEFC and FSC certifications ensure that all projects using certified paper meet the most stringent sustainability standards. And our omnichannel orchestration platform allows us to combine physical and digital communications into a unified strategy with full traceability.

Frequently Asked Questions

When is it better to use paper-based communication rather than digital channels?

The physical channel is preferable when: the recipient may have difficulty accessing the digital channel (digital divide, advanced age, disability); the document requires a durable medium that is not dependent on technology (mortgage contracts, life insurance policies, wills); the communication contains a large amount of information that requires careful reading and concentration; or when the goal is to create a distinct emotional impact in premium loyalty or welcome communications.

Is the paper environmentally sustainable?

Yes, when it comes from responsibly managed forests certified under FSC or PEFC standards. These standards ensure reforestation, respect for local communities, and traceability throughout the chain of custody. The main causes of global deforestation are agricultural and livestock expansion and urbanization, not the production of certified paper. Responsible use combined with proper recycling further reinforces the sustainable cycle of physical media.

Are companies required to provide paper-based communications to their customers?

In certain sectors and for certain customer profiles, yes. Directive (EU) 2019/882 (the European Accessibility Act) and its transposition into Spanish law through Law 11/2023 require the provision of accessible alternative channels — including paper formats such as Braille or large print — for people with disabilities or those who cannot access digital channels. The financial and insurance sectors have additional specific obligations in this regard.

What are the advantages of using paper for legal or contractual communications in banking and insurance?

Physical media offers unalterable durability without reliance on technology, a sense of officialness and formality that reinforces the credibility of the communication, and the absence of cybersecurity risks inherent in digital channels. For documents that must retain their evidentiary value for decades—mortgage contracts, life insurance policies, powers of attorney—paper remains the standard medium, now complemented by qualified digital preservation services when the document is digitized.

What are FSC and PEFC certifications for paper?

FSC (Forest Stewardship Council) and PEFC (Programme for the Endorsement of Forest Certification) are the two main international forest certification standards. They guarantee that the paper comes from responsibly managed forests, with reforestation plans and respect for biodiversity and local communities. A supplier with FSC or PEFC chain-of-custody certification demonstrates that it can trace the paper’s origin from the forest to the final product delivered to the customer.
